NCEW Virtual Conference Guide

Account Access

  • How do I log into the NCEW 2020 Virtual Platform?
    • Registered attendees will receive an email on September 17 with an
    • access key that will be used to log in to the website. If you do not
    • remember your log-in information, use the “Forgot Access Key” button.
  • How do I update my profile?
    • Once you login you will be prompted to update your profile.
    • You can edit your profile information, add a photo, add ribbons, and choose your networking options.
    • If you would like to go back later and edit your profile, click on your name in the menu bar in the top left of the website, click on My Profile, and make your edits.
  • What information will be shared with other attendees?
    • In the Contact Details section of your profile, the phone number will be shared to all attendees, and the blind email feature will be available if you enter your email in that section. More about the blind email feature is listed in the Networking section further in this document.
  • What Internet browser should I use to access the NCEW Virtual Platform?
    • Google Chrome is the preferred internet browser. Internet Explorer is not supported.
    • The Virtual Platform is optimized to be accessed on your desktop or laptop computer. We do not recommend using your mobile device.

Sessions and Live Streams

  • How do I access the Policy Makers Symposium sessions?
    • Once logged in, the vertical menu on the left side of the screen will give you options for browsing the various aspects of the conference.
    • Click on the Sessions menu, here you can view the Schedule at a Glance, Browse by Date, Browse by Category, Browse by Speakers, or view the Full Schedule.
    • Only the Policy Makers Symposium sessions will appear in the Browse by Date and Browse by Category sections.
    • Sponsored events can be found in the Schedule at a Glance, Browse by Speakers, or view the Full Schedule sections. They can also be found in the Sponsors and Networking menu items.
  • How do I create My Schedule?
    • Once logged in to your account, you can Favorite a session by clicking the star on the right side of each session. This will add it to the My Schedule page. This can be removed by clicking the star icon again.
  • How do I join a session live stream?
    • All sessions will be streamed live at the time indicated in the schedule. Each session will have a live stream button at the bottom of the session page. This button will be greyed out until shortly before the scheduled session time, at which point you will be able to enter the session room. Once you have entered the live stream viewer, take a moment to familiarize yourself with the icons and features that are available:
      • Ascending Vertical Bars: these will control the volume of your live stream. Click a box and turn it blue to increase the volume, or gray to decrease the volume.
      • Expanding Arrows: this will control the size of your screen. Click once to enter the full screen viewer or click again to return to the original size.
  • How do I ask the speaker a question?
    • Once in the live stream viewer, you will see the Help and Questions sections on the right side of the viewer. Speakers and Moderators will be participating in the discussion, or answering the questions live. Within the Question area, type in your question, and hit Enter. Other attendees will be able to see your question, and vote-up questions that they find most relevant.
  • I’m having problems with the live stream.
    • If you are unable to hear any sound at all, be sure your speakers are turned on, and you are not set to mute within the live stream window. o If the slides or speaker appear blurry at any point, it may be an internet connectivity issue. If you know that your connection is good, and you refresh your screen, but the images are still distorted, the issue may be with the speaker’s connectivity.
    • If you are having trouble with the video feed or are not seeing any video at all during the time of the live stream event, try refreshing your browser. You can do this by clicking the circular refresh icon beside the URL or holding down Ctrl +R buttons on your keyboard on a desktop/laptop.
    • You can also increase/decrease the resolution value of the stream. In the bottom right corner, you may see a number like 1080p. This is the highest resolution, and most recommended. If you see a number lower than 1080p, click on the number to adjust the resolution.

On-Demand Session Viewing

  • Can I view the sessions after the conference?
    • Yes, all sessions will be recorded and made available on the virtual platform for on-demand viewing within 3 business days after the Conference.
    • The platform and sessions will be available for on-demand viewing for 3 months after the end of the Conference (It will be available until December 29, 2020).
    • Once the recorded videos have been uploaded into the sessions, you can access the videos through the session popup by clicking on the Video button at the bottom of the session popup.
    • The session chat and questions will also appear in the Video button.

Sponsors

  • The sponsor pages are searchable by Company Name, Company Category, and the Logo Wall. These pages have features to help attendees learn more about sponsoring companies including:
    • Company description
    • Live chat with company representatives, if available
    • Published company brochures and published information o Roundtablemeetingrooms
    • Videos
    • URLlinks
    • Request more information
    • Directly email company representatives
  • Sponsored Webinar Side Events
    • In conjunction with NCEW, there will be interactive webinar focused on various topics related to clean energy. Content can be viewed on-demand for up to 3 months post-conference.
  • Sponsored Lightning Rounds
    • Each sponsor will have 10 minutes to present on a topic of their choosing related to Clean Energy. Content can be viewed on-demand for up to 3 months post-conference.

Networking

  • How do I connect with other attendees?
    • Registered attendees will set up a profile when they login. You can browse other attendees’ profiles and connect with them directly.
      • Use the Chat button at the top of the attendee’s profile to send a private chat message to that attendee. Your private chats can be found under the Attendee section, in the “Show only my chats” button.
      • You will need to have your profile sharing turned on in order to chat with other attendees. This can be turned on in your profile.
      • Blind Emailing- You can also email any attendee directly, without having to exchange email addresses. The attendee will receive an email and can choose to respond or not.
    • Favorite other attendees, speakers, sponsors. These will be saved in your My Schedule section. This is a great way to keep track of who you want to connect with or who you have connected with.
    • See what other attendees have favorited the sessions you are interested in by clicking on the session and click on the Attendees button in the right corner.
    • Chat with other attendees in any session via the chat room function.
  • Choose from the many networking sessions that will be ongoing throughout the conference.
    • NCEW Networking rooms organized by the NCEW Team. These are broken out by interests and topics.
    • Sponsored Roundtables that focus on a topic of the sponsors choosing.
  • How do I enter these networking sessions?
    • Each session pop up will have a “Video Chat” button in the bottom right corner. This button will be greyed out until shortly before the scheduled networking time, at which point you will be able to enter the networking video chat room.
  • What are these Video Chat rooms like?
    • The Video Chat rooms are all housed within the Virtual Platform, no need to download any outside video conferencing software!
    • Some Video Chats may be limited to a set number of attendees, this limit is based on first come, first served.
    • All attendees who join these Video Chats can;
      • Choose to turn their camera on or off
      • Speak directly to other attendees or mute themselves
      • Share their screens
      • Text chat within the video chat
      • Raise their hand
  • I’m having issues with the Video Chats
    • Check your Internet Connection
      • Limit heavy internet usage while using the Video Chat.
      • Limit streaming services (Netflix, Hulu, etc.) that may impact your WiFi bandwidth.
      • Use a hardwire internet connection, if possible.
      • Move closer to the WiFi router to strengthen connection.
    • Be sure to use either Google Chrome or Mozilla Firefox
    • Disconnect from your Company VPN
    • Clear your Web Browser History and Cache
    • Allow Camera and Microphone permissions within your Browser
